Example Response to a Maximo
Upgrade RFP
| This is an example of a response to a Maximo Upgrade Request
for Proposal (RFP). Although this is specific to a Maximo upgrade
the general concepts are valid for developing a RFP for any other
EAM software. Use this as a template for the subjects you should
address when you develop a Maximo Upgrade Request for Proposal. |
| A typical company has requested assistance for MAXIMO upgrade.
Long time users of MAXIMO typically require help on changing versions
from 4X to 6X.
The key to obtaining a successful upgrade is obtaining knowledgeable
resources in the software, process and supporting roles – and
at a good price.

Methodology
Synterprise will follow an implementation methodology developed
through experience with similar Maximo projects. Assigned consultants
will have an appropriate balance of technical knowledge and field
experience. The following graphic illustrates our methodology and
the interaction between objectives, deliverables, and activities. |

Our preferred approach is to first conduct a two-day Readiness
Assessment to determine gaps between current conditions and the
conditions required for a smooth software upgrade. Many companies
waste resources by starting the upgrade process without considering
data and hardware issues. |

Workshops are a useful venue for understanding old-versus-new
in terms of functionality, and what needs to change, identifying
actions, and clarifying issues. |

Where applicable informal training sessions (as well as formal
training) can be conducted on new functionality of the MAXIMO product.
Formal training is especially important when migrating from a Windows-based
application to a Web-based application. |

Action punch lists are useful for identifying actions for the
team, providing status, as well as enhancement requests – and
bugs |

Specification documents are helpful for identifying screen and
[new] report formats |

| The timeline and cost estimates are based on the following comments
from your Maximo Administrator. Actual costs will vary based on
the accuracy of this information and other currently unknown factors.
Pricing is on a “time and materials” basis. |
| Pricing for this project would be based on a price of $XXX per
hour per consultant. The Client will also be billed (at cost) for
travel expenses including motel (Hampton Inn or similar), one compact
rental car (shared by consultants), per diem (meals and misc. typically
$XX/day) and travel (economy class air travel or car mileage).
Consultants typically travel home each week-end. This offer is
good through DATE. Please note the terms and conditions as shown
in the included Service Agreement. |

The Resource Leveling Program module
works within the CMMS/EAM to balance required craft hours with
