Example Response to a Maximo Upgrade RFP

This is an example of a response to a Maximo Upgrade Request for Proposal (RFP). Although this is specific to a Maximo upgrade the general concepts are valid for developing a RFP for any other EAM software. Use this as a template for the subjects you should address when you develop a Maximo Upgrade Request for Proposal.

Project Requirements
A typical company has requested assistance for MAXIMO upgrade. Long time users of MAXIMO typically require help on changing versions from 4X to 6X.

The key to obtaining a successful upgrade is obtaining knowledgeable resources in the software, process and supporting roles – and at a good price.

Project Focus:
Review current status/use of MAXIMO 4x – modules and apps
Review of tailoring (and/or customization) necessary for upgrade
  Non-standard reports
  Clones and Custom Apps (applications)
  Triggers and/or stored procedures
  Value lists
  Integration points
  VB buttons
Workshop discussion on better/best practice – to include areas on:
Historical data to be migrated; data cleansing requirements
[optional] Planning & scheduling; Backlog management
[optional] Work and asset prioritization methodologies
[optional] Better/best practices for your CMMS/EAM solution
Data mapping exercise (consultants will already know how the standard fields are to be migrated – but clarification is sometimes needed for tailored areas)
New Report specification and development – if required
6X Screen tailoring – where 4X screens have been altered

Methodology
Synterprise will follow an implementation methodology developed through experience with similar Maximo projects. Assigned consultants will have an appropriate balance of technical knowledge and field experience. The following graphic illustrates our methodology and the interaction between objectives, deliverables, and activities.
HYPERLINK TO READINESS ASSESSMENT PAGE
Our preferred approach is to first conduct a two-day Readiness Assessment to determine gaps between current conditions and the conditions required for a smooth software upgrade. Many companies waste resources by starting the upgrade process without considering data and hardware issues.
Set-up Requirements

Key Organizational Elements:
Steering team – controls project deadlines and budgeting; establish KPI’s and rules for standardization
Core team – makes decisions on utilization aspects of the CMMS/EAM product
Business Process leads – responsible for expertise in particular function or area
MAXIMO Administrator – overall leader for MAXIMO system
The client site may want to provide staff in key roles on the Upgrade Project to lead or assist the consultants.
Change management is also an important process and role. Someone must “own” the change and keep all staff informed to avoid future issues.
Tools:
Workshops are a useful venue for understanding old-versus-new in terms of functionality, and what needs to change, identifying actions, and clarifying issues.
Where applicable informal training sessions (as well as formal training) can be conducted on new functionality of the MAXIMO product. Formal training is especially important when migrating from a Windows-based application to a Web-based application.
Action punch lists are useful for identifying actions for the team, providing status, as well as enhancement requests – and bugs
Specification documents are helpful for identifying screen and [new] report formats
Project Completion Metrics:
Implementation schedule and scope control; clear goals and objectives
Project work plan – tracking actual consulting hours versus plan
Identification of potential downtime and/or data migration risks with a plan to mitigate
Quality and testing plan

Why Synterprise?
Synterprise consultants have the experience, training and methodology to deal with EVERYTHING related to a smooth upgrade. Synterprise has experts in data migration, screen development, report writing, software installation, training and work-process documentation. Our goal is to deliver a rapid return on investment by delivering recognizable value ASAP. Early success gives the project momentum.

Below is a partial list of our capabilities:

2. Better/best practices – backlog management, planning & scheduling, asset management; PM program setup; materials management; location hierarchy design
3. Ability to quickly design and develop reports – including Actuate and Crystal
4. Data loading – we utilize the fastest techniques available; user-acceptance testing
5. Service partners – we are able to create a “best of breed” project team consisting of the best consultants in the industry
6. Our knowledge of MAXIMO from a CMMS process side – specifically facility management
7. Product trouble-shooting – error trapping; we find the problem, and recommend a work-around.
8. Where possible, Synterprise consultants will work off-site to lower total project cost
9. Advanced project management techniques
10. Post-project support

Timeline and Cost Estimate
The timeline and cost estimates are based on the following comments from your Maximo Administrator. Actual costs will vary based on the accuracy of this information and other currently unknown factors. Pricing is on a “time and materials” basis.

Cost Assumptions
Pricing for this project would be based on a price of $XXX per hour per consultant. The Client will also be billed (at cost) for travel expenses including motel (Hampton Inn or similar), one compact rental car (shared by consultants), per diem (meals and misc. typically $XX/day) and travel (economy class air travel or car mileage). Consultants typically travel home each week-end. This offer is good through DATE. Please note the terms and conditions as shown in the included Service Agreement.

Unique Software Solutions – provided by Synterprise
The Resource Leveling Program module works within the CMMS/EAM to balance required craft hours with available craft hours. The ultimate goal is to produce a believable and “doable” weekly schedule. With the RLP you can automatically generate a weekly schedule which includes routine maintenance as well as project-related work. And this schedule is stored in a permanent table for compliance reporting. The overall result is enhanced work force efficiency and increased backlog reduction.

The Project Cost Tracking module works inside the CMMS/EAM to track costs related to construction and installation activities and associated project management. It shows budget values, committed costs, expended amounts and variances, plus a forecast of completion time and cost.

Reliability Improvement Consulting
Sustainable Reliability Management (SRM) creates an optimal balance between equipment reliability and cost efficiency. SRM costs up to 60% less to implement than traditional Reliability Centered Maintenance (RCM) processes yet maintains similar levels of reliability.
  Reliability Services:

Corrective Action Programs (CAP) KPI setup
Criticality Assessments Root-Cause Analysis
